Administrative Assistant

As a Administration Assistant, you will be the first point of contact for our company. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

Reception

  • Welcoming and taking care of visitors (hotel accommodation, itinerary support, restaurant, lunch, conference rooms, etc.) and telephone switchboard service.
  • Organization of business travels and external / internal meetings, events.
  • Co-ordination / follow up of absence list / internal phone list.
  • Replacement of the Supervisor Administration during his/her absences.

Shipping

  • Generate invoices and delivery notes in Oracle.
  • Organize transportation and shipment of finished goods.
  • Generate all paperwork for custom handling.
  • Follow up on planning of goods to be shipped.
  • Support to the Customer Service department as needed.

 

WHAT WE ARE LOOKING FOR

To be successful you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role may require flexibility.

You have excellent communication skill and the ability to effectively communicate in the English and French language (verbally and in writing) 

You have very good organizational skills, the ability to be resourceful and proactive when issues and  to prioritize tasks.

You have a commercial degree (CFC or judged equivalent) as well as a proven work experience as a Front Office Representative.
